Frequently Asked Questions:
Q- How do I send you my audio files?
A- Please go to my 'Send me your File' page and follow the instructions. You will need the password, which I will provide you will when you contact me regarding your audio recordings. This is a file sharing service that I pay for and will handle a large amount of data and complies with data protection. You can alternatively send me the files through a file sharing service that you use.
Q- How much is this going to cost?
A- Please see my pricing/rates page. The very reasonable rates shown are what you will actually be billed per audio minute of your recording. I also give discounts to students, academics, non-profit organisations and writers which are clearly outlined on the rates page. I am a small organisation and therefore you will not be charged VAT for my services.
Q- What is the turnaround time?
A- If it is one recording (up to 60 minutes in length) or several short recordings (half an hour or less) it will usually be turned around within 48 to 72 hours. If it is several long recordings or a large project, I will let you know the completion date, this really is dependent upon how busy things are. I always deliver on time within our agreed timeframe. If you have urgent requirements please let me know and I will do my best to accommodate you.
Q- How do I pay you?
A- I will invoice you at the end of your project, or in the middle at the end of each calendar month if your project spans several months or you are a regular client. You then have 7 days to pay the invoice by BACS. If you are a university or a company that works with Purchase Orders, please discuss this with me prior to the project beginning. I am happy to accept work with a Purchase Order that has been raised (the terms and conditions for large companies/ universities are payment within 30 days of being invoiced).
Q- How do I get my transcripts?
A- I will email you your transcripts. I am happy to email you each transcript as it is completed so that you may begin your work on it immediately. The transcripts will be produced in an editable Word document so that you may make any amendments you require. I have a template which I use for most of my projects, but if you have a special template you would like to use, please email it to me and I will use that template instead.
Q- How do I get started?
A- Please email me kimwhyte@trustytranscriptionists.co.uk or use my 'contact me' form, as I am doing transcription work with headphones on, I often do not hear the telephone so this is the best method to reach me quickly. I do my best to respond to all requests within an hour. Please provide me with the number of audio recordings you need to be transcribed and the length (if you have this information, otherwise an estimate is fine), and your required completion date. I will then provide you with the Client Agreement which contains important information such as confidentiality and data protection. I will also email you a Client Booking Form. I ask you to complete this so that I can start on your project. Then you just have to upload your audio files and I will take care of the rest. It's a very quick and easy process.
Q- Are you hiring?
A- I'm sorry I am not looking for any help. I carry out the majority of the work myself, my unique selling point is the confidential service that I offer. From time to time a few self-employed subcontractors assist me on larger academic projects with longer turnaround times, if the client is happy for this to occur. I am a small business and try to pay my subcontractors decently (I pay them what I charged clients when I first started the business) I am not getting rich quickly here, nor do I have an interest in exploitation or massive expansion. I just want to run an efficient business ethically. I wish you all the luck in your employment endeavours.
